The Hotel Spa PMS Integration Guide: Infor, Opera, Maestro, Cloudbeds and WebRez

Most hotel spas still run as an island. Guests book at the front desk, the spa keeps its own diary, and charges are reconciled by hand at midnight. A genuine property management system integration removes all three of those gaps — but only if it is two-way, room-charge aware, and mapped to your treatment menu.

What a two-way integration actually means

A one-way feed pushes a guest list into the spa system once a night. A two-way integration keeps the guest profile, the folio, and the availability calendar in agreement in real time. When a treatment is booked, the charge posts to the room immediately; when a guest checks out early, the spa knows before the therapist prepares the room.

The practical test is simple: can the front desk book a treatment without opening the spa software, and can the spa post to a folio without a phone call? If either answer is no, you have a data export, not an integration.

How the major systems differ

Infor PMS suits multi-outlet resorts where the spa is one of several revenue departments. Maestro is common in independent and boutique Canadian properties and tends to be the most flexible on custom posting rules.

Cloudbeds and WebRez sit at the cloud-native end. They are quick to connect, favour API-first workflows, and are often the right fit for smaller properties or groups adding a spa to an existing lean stack.

Questions to ask before you commit

Integration projects fail on details, not on ambition. Before signing, confirm who owns the mapping of treatments to transaction codes, what happens to a posting when the folio is closed, and how the connection behaves during a network outage.

  • Is posting retried automatically after a dropped connection?
  • Can group and package rates carry through to spa services?
  • Who supports the connector — the PMS vendor, the spa vendor, or both?
  • How are refunds and voids reflected on both sides?
